- Name, email address, and phone number when you create an account or make a booking.
- Payment information processed securely via Square. We do not store your full card number on our servers.
- Booking history, session preferences, and membership status.
- Device information, IP address, and browser type collected for security purposes.
- Waiver acceptance records including timestamps and electronic signatures.
2. How We Use Your Information
- Process bookings and payments.
- Send confirmations, reminders, and receipts via email and SMS.
- Re-engage users who have not completed a booking (abandoned checkout recovery).
- Administer memberships and member benefits.
- Maintain legally required waiver and agreement records.
- Improve the platform and customer experience.
- Comply with applicable law.
3. SMS & Email Communications
When you provide your phone number during booking, registration, or account setup, you consent to receive transactional text messages from The Clubhouse, including booking confirmations, waiver links, check-in reminders, and account notifications. Message and data rates may apply. Message frequency varies. Reply STOP to opt out at any time, or HELP for assistance. Your consent to receive SMS messages is not a condition of any purchase.
We do not share your phone number with third parties for their marketing purposes. SMS messages are delivered via Twilio, our messaging provider.
You may also receive promotional messages if you opt in separately. You can opt out of promotional messages at any time by replying STOP to any SMS or clicking the unsubscribe link in any email. Opting out of promotional messages does not affect transactional messages related to your bookings or account.
4. Data Sharing
We do not sell your personal data. We share information only with the following service providers, all of whom are contractually required to protect your information:
- Square: Payment processing
- Twilio: SMS messaging
- SendGrid: Email communications
- QuickBooks: Accounting and invoicing
5. Data Retention
Booking and waiver records are retained for a minimum of 7 years in accordance with Florida law. Account information is retained until you request deletion, subject to legal retention requirements.
6. Your Rights Under Florida Law
You have the right to:
- Access your personal information.
- Request correction of inaccurate information.
- Request deletion of your data, subject to legal retention requirements.
- Opt out of promotional communications.

7. Security
We protect your data with SSL encryption, secure payment processing via Square, and access controls limiting who can view your information.
8. Minors
We do not knowingly collect personal information from children under the age of 13 without parental consent. Minor participant data is associated with the parent or legal guardian's account.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will provide at least 30 days' notice of material changes via email or a prominent notice on our website.
